Releasing Vehicles
Basic Vehicle Release:
From the call details screen select the Release button from the bottom part of the screen and the release screen will appear.
Select Release Type from pull down menu. Your choices are as follows:
Owner (registered owner, legal owner, insurance company, owner�s agent)
Buyer (lien sale buyer or sold on title turned over by owner)
Commercial Account (a commercial entity that has an account with you)
Agency (police department, sheriff�s office, etc.)
Select Release To: - the person you are releasing the vehicle to from the pull down. If that person is not listed on the pull down you may type it in. A screen will appear and state "This person has just been added to the Tow as an interested party. Would you like to enter person�s info?
Yes to enter details, No for quick add or cancel"
We recommend clicking yes so that you may enter all the details, otherwise you will only have the name.
Select Release Authority from the pull down menu. You may change your options for release authority in Lists.
Select Paid Via from the pull down menu, this too can be edited in Lists.
If paying by check or credit card, note the check number or credit card authorization number in the Check/CC # field.
It will record payment in full unless you edit the payment amount.
Click Release & Print. Vehicle will be released from inventory and the release date, release authority and employee releasing vehicle will be automatically stamped on the call detail screen.
If at anytime you make a mistake or need to cease the release, just click the Cancel button and you will be returned to the call details screen.
Accepting Title in Lieu of Payment:
From the call details screen select the
Release button from the bottom part of the screen.
Select Release Type from pull down menu. Choose Owner.
Select Release To: - the person you are receiving the title from on the pull down menu. If that person is not listed on the pull down you may type it in. A screen will appear and state "This person has just been added to the Tow as an interested party. Would you like to enter person�s info?
Yes to enter details, No for quick add or cancel" We recommend clicking yes so that you may enter all the details, otherwise you will only have the name.
Select Release Authority from the pull down menu. Choose title or pink slip, or whatever you have set up in the release authority list to indicate the owner turned over title.
Select Paid Via from the pull down menu, this too can be edited in lists.
If paying by check or credit card, note the check number or credit card authorization number in the Check/CC # field.
Change the amount paid to what, if any, the owner is actually giving you.
Click Accepted Pink Slip button. A screen will appear with one of the two following options:
Vehicle already has a lien sale clear date of ##/##/####
To include this vehicle in the next available lien sale, enter the desired date below, or click cancel.
A title receipt will print (whichever format was selected in agency). The field marked Pink in the call details screen will be automatically date stamped to indicate a title was received. Vehicle will remain in inventory until it is sold, but storage will not accrue.
Invoicing One Call to Two or More Parties:
Select the Invoices button at bottom of call detail screen and the existing invoices screen will appear.
Select New Invoice button from bottom of screen.
Select Invoice Type for the first invoice from the pull down menu.
Select Invoice To from the pull down for the first invoice.
On the Charges on this Invoice screen, select the charges you do not want to invoice on the first invoice and click the Remove Item button.
In the Payments screen, select payment type and indicate amount being collected with first invoice.
Click the Create Invoice button. You will be asked if you want to print the invoice. Once you have made your selection you will be returned to the call detail screen.
Select the Invoices button at bottom of call detail screen and the new invoice screen will appear.
Select Invoice Type for the second invoice from the pull down menu. Invoice To from the pull down for the second invoice.>
On the Charges on this Invoice screen, select the charges you do not want to invoice on the second invoice and click the Remove Item button.
In the Payments screen, select payment type and indicate amount being collected with second invoice.
Click the Release & Print button if this is the final invoice, if not, select Create Invoice button.
